London PCO & Training (“we”, “us”, “our”) is committed to protecting
your privacy. This Privacy Policy explains how we collect, use, store,
and protect your personal data when you visit
londonpcoandtraining.co.uk or use our training and PCO licence
application support services, in line with the UK General Data
Protection Regulation (UK GDPR) and the Data Protection Act 2018

2. What Personal Data We Collec

Depending on how you interact with us,we may collect:

Contact and account information: name, email address, phone
number, postal address, submitted via our contact/booking forms or
newsletter sign-up.

Application support data: because we help clients through the TfL
licensing process, we may handle more sensitive information,
including: – DVLA driving licence details and check codes – DBS
(Disclosure and Barring Service) application information, which may
include criminal record data – Medical form information – Copies of
identity documents (e.g. passport, proof of address) – TfL application
and correspondence details.

Training records: attendance, mock test/assessment results, course
progress notes.

Payment information: billing details and transaction records (card
details are processed by our payment provider and are not stored by
us — see Section 6).

Technical data: IP address, browser type, device information, and
pages visited, collected automatically via cookies and similar
technologies (see our Cookie Policy)

3. Special Category and Criminal Offence Data

DBS/criminal record data and any health information on medical
forms are treated as special category or criminal offence data under
UK GDPR. We only collect this where you provide it to us voluntarily
in order for us to assist with your TfL application, and we process it:
With your explicit consent, and/or – Because it is necessary to help you
meet a legal or regulatory requirement (obtaining a private hire
licence), and/or – Because it is necessary for the establishment,
exercise, or defence of legal claims.

We apply additional safeguards to this data, including restricted
access and secure storage, and we do not use it for any purpose
beyond supporting your licence application unless you ask us to.

5. Who We Share Your Data With

We may share your data with: – Transport for London (TfL), the
DBS, the DVLA, and medical examiners, where necessary to progress
your licence application — with your knowledge and, where legally
required, your consent. – IT, hosting, and email service providers
who support our Site and systems (acting as processors under
contract). – Payment processors, to handle transactions securely.
Professional advisers (e.g. accountants, solicitors) where necessary.- Regulators or law enforcement, where we are legally required to
do so.
We do not sell your personal data to third parties.

6. Payment Data

We do not store full card details on our own systems. Payments are
processed via a third-party payment provider, who handles your card
data in accordance with PCI-DSS security standards. [Insert payment

7. International Transfers

Where any of our service providers store or process data outside the
UK, we ensure appropriate safeguards are in place (such as the UK’s

8. How Long We Keep Your Data

  • Enquiry/contact form data: up to 12 months if no further
    engagement, unless you ask us to delete it sooner.
  • Client and training records: for the duration of our engagement
    plus [insert, e.g. 6 years] afterwards, to meet legal, accounting,
    and potential dispute-related obligations.
  • DBS, medical, and licence application data: kept only as long as
    necessary to support your application, then securely deleted, in
    line with DBS Code of Practice guidance on handling such data.

9. Your Rights

Under UK GDPR, you have the right to: – Access the personal data we
hold about you – Request correction of inaccurate data – Request
erasure of your data (subject to legal retention requirements)
Restrict or object to certain processing – Request data portability
Withdraw consent at any time where we rely on consent – Complain to

Our Services are intended for adults applying for or holding a UK
driving licence (minimum age requirements apply per DVLA/TfL
rules). We do not knowingly collect data from children.
